We have prepared an outline of our administrative process for leasing and managing rental properties.  In developing relationships with owners, it is our goal to provide you with information that will be helpful in avoiding surprises that could occur later on and allow you to be comfortable placing your trust in our professional experience. 

 

ADVERTISING

 

Rental properties are submitted to the MLS (multiple listing service) for the SW Florida area and are posted on our two company websites, www.hawleyproperties.com and at www.fl.living.net which are then networked in syndication with numerous other sites specializing in rental searches.  A sign will be posted at the property (if allowed) and printed ads will appear in local publications.  Your property will also be offered verbally to callers and other prospective tenants.

 

OBTAINING A TENANT

 

Prospective tenants will be interviewed and researched by credit report, a criminal background search in 48 states, local records of the Clerk of Court and Sheriff's Department, a search of past evictions, and we will interview their current and previous landlords and employers along with any additional sources we deem necessary.  We will also conduct an inspection of the rental property and take digital photographs for your file before any tenants take possession.  It is our goal to protect your investment and your sanity by presenting you with quality tenants who will be concerned with the care and maintenance of their new home as well as being consciencious neighbors. 

 

LEASES AND RENEWALS

 

Leases are prepared by our attorneys specializing in Florida Landlord/Tenant law.  Prior to the expiration of a current lease, we will mail to the tenant a letter offering renewal.  If the tenant renews and a new lease or addendum is drawn up, we charge no additional renewal fee to the owner for this service.  If the tenant decides to vacate, a list of move-out responsibilities is sent to the tenant.  By reminding them of how they can recover their security deposit, they are encouraged to leave a neater, cleaner property and eliminates much of the risk involved with "skipping out".

 

RENTS AND STATEMENTS

 

All rentals are due on either the first of the month or the 15th of the month.  Statements are sent to the property owner appoximately 15 days after the rental due date.  Our monthly management fee and any repairs or other costs are deducted from the rents received.   Rent is considered late if not received by the fourth day after the due date.  The tenant will receive a courtesy call from us and may be assessed a late fee.  If immediate arrangements are not made at that time for payment, a 3-day Notice will be delivered and, in rare circumstances, eviction would be the next step.     

 

MAINTENANCE AND REPAIRS

 

Rental homes must be properly maintained in order to preserve the value of the property and maintain a positive relationship with the residents.  Florida also has laws that require landlords to comply with certain basic maintenance and repair obligations.  Therefore, any necessary repairs or emergency situations will be handled in an expedient manner up to $300.00.  Major repairs in excess of this amount will not be done without the owner's approval.   NOTE: This excludes repairs deemed by manager as emergency repairs or repairs that are required to be effected to bring your property into compliance by law, governmental building, zoning, safety and municipal codes, or the restrictive and protective covenants of your homeowners association or repairs that in managers sole judgement are necessary for the safety of the tenants or your property. Manager shall proceed with these repairs and bring property into compliance.

 

If your property is vacant, we will take care of preparing the unit to show prospective tenants in a manner that means faster leasing and less vacancy expenses for you, the owner.  Examples of such preparations would include but are not limited to lawn service, carpet cleaning, general cleaning service, pool service, utilities, and painting, when necessary.  If any of these costs are due to the former residents, then those costs will be deducted from the security deopsit held for those tenants.

 

You can expect that we will only use repairmen, vendors, and tradesmen that are properly licensed and insured to handle the type of work being performed on your property.  Additionally, we go to great lengths to assure our owners that the workmen we send to your property are committed to performing quality work at very reasonable prices without fear of price-gouging, inferior or sub-standard workmanship.  It's our job to save you money and we will never waste your dollars or use vendors who operate with anything less than our standards of excellence.  Many times a problem can be resolved over the phone saving you even more money!
